Position Overview
As an HR Administrative Assistant at Topaz HR, you will play a key role in supporting the HR and management teams through a wide range of administrative tasks. Your responsibilities will include calendar coordination, employee documentation, recruitment support, and assisting with onboarding/offboarding processes. This position is ideal for someone who is detail-oriented, organized, and eager to grow their career in Human Resources.

Reports To: HR Manager / Management Team
Employment Type: Full-Time
Schedule: Onsite
Salary Range: $40,000–$50,000 USD/Annually

Key Responsibilities

  • Provide administrative support to managers and employees across departments
  • Coordinate meetings, manage calendars, and take detailed meeting minutes
  • Maintain contact lists and track project statuses, providing regular updates
  • Assist with recruitment efforts, including candidate tracking and initial screening
  • Support onboarding and offboarding processes, ensuring timely follow-up and documentation
  • Prepare and manage HR forms, reports, and general HR documentation
  • Create checklists to support task completion and organizational follow-through
  • Handle internal and external requests and queries professionally
  • Maintain accurate employee records and assist with data entry into HR systems
  • Support ad hoc HR projects including research, document creation, and scheduling
  • Ensure confidentiality and compliance in all HR and administrative tasks
  • Assist with planning team activities and engagement initiatives as needed
Requirements
  • Previous experience in HR or administrative roles strongly preferred
  • Strong interest in or desire to grow within Human Resources
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Excellent time management, prioritization, and multitasking abilities
  • Strong written and verbal communication skills
  • High attention to detail and a proactive, problem-solving mindset
  • Ability to handle confidential information with discretion
  • Comfortable working independently and collaboratively within all levels of an organization

Compensation
The published salary range is used as a guide to provide prospective candidates with a level of compensation that is competitive with today’s market.  The salary range for this position is a good faith estimate that allows for flexibility to align with various levels of experience, education, and performance.
